2. Data Collected and Purposes of Processing
2.1 Navigation Data
The computer systems and software procedures used to operate this website automatically acquire, during their normal operation, certain personal data whose transmission is inherent in the use of Internet communication protocols. This category includes IP addresses, browser type, operating system, domain name and addresses of sites from which access was made, and the date and time of the visit.
These data are used exclusively to derive anonymous statistical information about website usage and to verify its correct functioning. They are deleted immediately after processing and are in no case used for the identification or profiling of users.
2.2 Voluntarily Provided Data – Contact Form
The optional, explicit and voluntary submission of messages via the contact form on this website involves the subsequent acquisition of the sender’s contact details (first name, last name, e-mail address, telephone number and message content). These data are processed solely for the purpose of responding to the submitted request.
The provision of data marked as mandatory in the form is necessary to fulfil the request; the provision of optional data is left to the free choice of the data subject, without any consequences for the service.
2.3 Bookings – Slope System
Room and service bookings are managed through the online booking system Slope (Slope S.r.l., based in Italy). When accessing the booking engine, you are redirected to a third-party platform subject to its own privacy policy. Slope acts as Data Processor on behalf of Accademia S.r.l. a socio unico. Data transmitted during the booking process (personal details, payment data, stay preferences) are processed in compliance with EU Regulation 2016/679.
2.4 Bar Atelier Contacts
Requests sent by e-mail to latelier@accademiahotel.it or via WhatsApp to the number indicated on the website are processed solely for the purpose of responding to the request itself (quotes for private events, tastings, aperitifs) and are not shared with third parties or used for marketing purposes without explicit consent.
3. Cookies
This website uses exclusively technical cookies, which are essential for its correct functioning:
- WordPress session cookies: store visitor preferences during navigation. They are deleted when the browser is closed.
- Security cookies: generated by the system to protect the website from unauthorised access.
This website does not use profiling cookies, advertising tracking cookies or third-party analytics cookies (e.g. Google Analytics). Consent is therefore not required pursuant to Art. 122 of the Privacy Code and the ePrivacy Regulation.
4. Legal Basis for Processing
Data processing is carried out in compliance with Regulation (EU) 2016/679 (GDPR) and Legislative Decree 196/2003 as amended by Legislative Decree 101/2018. The applicable legal bases are:
- Art. 6.1.b GDPR – performance of a contract or pre-contractual measures: for bookings and quotation requests;
- Art. 6.1.f GDPR – legitimate interest of the Controller: for navigation data and technical cookies necessary for website operation;
- Art. 6.1.b GDPR – response to voluntary requests: for messages sent via the contact form or by e-mail.
5. Data Retention
- Navigation data: deleted within 7 days of recording, unless required for the investigation of computer crimes.
- Contact messages: retained for the time strictly necessary to fulfil the request and, in any case, no longer than 24 months.
- Booking data: retained for the time necessary to fulfil contractual and fiscal obligations (10 years pursuant to Italian tax regulations).
- Bar Atelier data: retained for the time necessary to manage the request, no longer than 12 months from the last contact.
6. Communication and Disclosure of Data
Personal data are not disclosed to unauthorised third parties. They may be communicated to:
- IT service and hosting providers (as Data Processors), contractually bound to comply with the GDPR;
- Slope S.r.l. for the management of online bookings;
- Competent public authorities, where required by law or by order of a judicial authority.
Data are not sold, transferred or rented to third parties for commercial or marketing purposes.
7. Transfer of Data Outside the EU
Personal data are processed on servers located within the European Union. Should a transfer to third countries become necessary, it will only take place in the presence of adequate safeguards pursuant to Arts. 44–49 GDPR (e.g. standard contractual clauses approved by the European Commission).
8. Data Subject Rights
Pursuant to Arts. 15–22 of EU Regulation 2016/679, the data subject has the right to:
- Access – obtain confirmation of processing and a copy of their data (Art. 15);
- Rectification – obtain the correction of inaccurate or incomplete data (Art. 16);
- Erasure – obtain the deletion of data in the cases provided for by law (Art. 17);
- Restriction – obtain the restriction of processing in the cases provided for (Art. 18);
- Portability – receive their data in a structured, machine-readable format (Art. 20);
- Objection – object to processing based on legitimate interest (Art. 21);
- Withdrawal of consent – where processing is based on consent, withdraw it at any time without affecting the lawfulness of processing carried out prior to withdrawal.
Requests should be sent to the Controller at the e-mail address info@accademiahotel.it. The Controller will respond within 30 days, extendable by a further 60 days in cases of particular complexity.
The data subject also has the right to lodge a complaint with the Italian Data Protection Authority (Garante per la protezione dei dati personali) (www.garanteprivacy.it), Piazza Venezia 11, 00187 Rome.
9. Updates to This Privacy Policy
The Controller reserves the right to modify or update this privacy policy at any time, in particular following regulatory changes. Amendments take effect from the date of publication on the website. We therefore invite you to consult this page periodically.
